Operations Specialist
Job Type: Full-time | Pay: $50,000.00 – $60,000.00 per year | Benefits: 401(k), Paid time off
Capital Investment Management is experiencing significant growth and is seeking a Financial Operations Specialist to support our expanding advisor team and help streamline office operations. This role will provide essential administrative, operational, and client service support—ensuring a smooth, efficient workflow and an exceptional client experience. The ideal candidate is intuitive, detail-oriented, organized, and able to think outside the box.
Essential Duties and Responsibilities
- Support onboarding of new clients, including preparing, organizing, and maintaining paperwork.
- Assist with service-related tasks and manage follow-up workflows to ensure timely completion.
- Respond to client questions and requests by phone or email promptly.
- Record notes, assign tasks, document interactions, and help create follow-up plans.
- Review applications, beneficiary forms, and change requests for accuracy and completeness.
- Process client withdrawals, contributions, transfers, and rollovers.
- Generate account paperwork including statements and service forms.
- Handle updates to client contact and banking information.
- Troubleshoot issues, think creatively, and resolve client service problems.
- Coordinate communication with internal staff, advisors, and external companies.
- Maintain CRM system and ensure consistent documentation.
- Support growth initiatives with new clients while enhancing the experience of current clients.
- Maintain an organized office environment and assist with administrative tasks.
Skills Required
- Strong customer service skills.
- Proficiency in MS Office (Word, Excel, Outlook), CRM systems, and financial databases.
- Ability to troubleshoot issues and think beyond black-and-white solutions.
- High attention to detail with excellent organizational skills.
